I chose a vendor based on unit price. It seemed obvious. Their price per filter was 10% lower than the incumbent. Then I looked at the order terms: a 12-piece minimum order, $35 freight below $250, and a $20 handling fee. Our usual orders were five to eight filters at a time. The cheaper filters would sit on the shelf, and the shipping fees would eat the savings.

Hidden costs add up fast, like return shipping, incorrect-part stock, and the downtime waiting for the right one.
For most fleets, I recommend a good particulate cabin filter, not necessarily a HEPA version. That's the sweet spot for cost and coverage. But if you operate in a high-pollen area or deal with diesel exhaust smells, spend the extra money on an activated carbon or HEPA filter. A basic filter is fine for the other 80% of cases. Here's how to know if you're in that 80%: you don't have allergy complaints, you don't run in heavy soot conditions, and you're not using the truck as a mobile air-quality-sensitive workspace.
What I'd do differently
That morning ended with three purchase orders and a long thread of texts. The package of lessons is simple.
- Total cost matters more than unit price. Quote line items are not the same as final cost. Ask about core charges, freight, minimums, and part numbers.
- Traceability is worth paying for when a customer has an audit trail. A cheap part without documentation can become an expensive part after an audit finding.
- Verify the filter class before quoting. Micro air filter and cabin filter sound similar but are not the same. Send a VIN or a part number before you build a quote.
Oh, and I should add that I've started asking customers for a part number or VIN at the beginning of every call, not after twenty minutes of guessing.
